you're surely better if you contact some agents in Kathmandu directly by email in advance.
About Project Himalaya, I heard similar voices too, but hae no direct experience with them.
If you contact upon arrive in Kathmandu, it might be that you have to take what you get and be anyhow stuck a few days more than you have planned to.
It's in fact pretty difficult for local agents to get in order all in one afternoon, flights, guide maybe a cook (depending on your trip), get together foodstuff and equipement and lastly flights.
Specially in October - November, it can (not must) be irritating to get only flights after some time, just because the days you want to go, there are somehow not enough seats..
Also be aware, that mostly guides which are not so good are free in high season, the better ones are already booked in advance.
Your trekking peak trip can be organized only through registered "Liasion office" = agency registered with government and the Nepal Mountaineering Association.
My advise: organize in advance your trip and make clear questions, you might also write your Embassy or Consulate to ask, if those agencies you have contacted have somehow a negative registration with them. That often gives you a clear idea who drop immediately.
There are plenty of good agencies as well as no-idea-what-they-do ones.
How they reply, gives you also an idea about them.
I did some peaks in Nepal myself bu do not want to make reccomedations.

: Is it easy enough to organise a trek including a trekking peak or two on arrival in KTM (i.e. within a day or two of heading off on the trek?). Or is it more logical to sort things out from home before i leave? I dont know how long it would take to get guide/porter/equipment ready.
: I intend on walking in the Everest region, to Gokyo, EBC, and do one or two of the surrounding trekking peaks such as Island. I have decided to go with a local agency as opposed to a Western one.
